Administrative Assistant
Part-time, fully remote role supporting the firm's legal team with calls, scheduling, client intake, billing and day-to-day administration.
Mayo Law is an international law firm operating in New York and Toronto. We are looking for a motivated, organized and dependable Administrative Assistant to join our team.
This is a part-time, fully remote position with about 15 to 20 hours a week to start. Hours and responsibilities can grow as the firm grows.
No prior law firm experience is required. We are looking for the right person and will provide training.
The role
You will work closely with our legal team and help with the day-to-day administration and operations of the firm. The role suits someone who enjoys learning, takes initiative and likes handling different kinds of work.
What you will do
- Answering incoming calls and responding to new client inquiries
- Scheduling consultations, meetings and calls
- Managing calendars and appointment confirmations
- Following up with prospective and existing clients
- Assisting with client intake and collecting preliminary information
- Managing emails, electronic files and administrative records
- Assisting with consultation payments, billing and invoices
- Maintaining information in the firm's systems and databases
- Preparing routine correspondence and administrative documents
- Supporting marketing and business development
- Assisting with research and special projects
- Helping improve administrative systems and workflows
- Providing general administrative and operational support to the firm's legal team

We care more about your ability, reliability and willingness to learn than your previous job titles. Previous administrative, customer service, office, hospitality, sales or professional-services experience is an asset, but not required.
The role starts at about 15 to 20 hours a week. There is an opportunity to increase hours, potentially into a larger or full-time role, based on the firm's needs and your performance and availability. As you become familiar with the firm, you will have the opportunity to take on more responsibility.
